1. Introduction

This Privacy & Cookie Policy explains how Skweeky Kleen South West Ltd ("Skweeky Kleen", "we", "us" or "our") collects, uses, stores and protects personal data when individuals visit our website at www.skweekykleen.co.uk, contact us, apply for employment, use the Kore Employee mobile application, or use the Kore Portal.

We are committed to safeguarding personal data and to transparency about how it is handled in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

The Kore Employee app is available through the Apple App Store and Google Play. The Kore Portal is used by authorised Skweeky Kleen management and other authorised users for workforce and operational administration.

2. Personal Information Collected Through Our Website

You may be asked to provide personal information through our website, for example when submitting a general enquiry, applying for a job through our recruitment form, or signing up to receive updates or service information.

This information may include your name, email address, telephone number, contact details, employment history and information you choose to provide. We use this information to respond to enquiries, process job applications, provide relevant information about our services, and improve our website and services.

Recruitment data is used for recruitment purposes and is retained only for as long as reasonably necessary, subject to applicable legal requirements.

3. Information Processed Through the Kore Employee App and Kore Portal

Kore is a workforce management system used by Skweeky Kleen. Depending on the functions enabled and the user's role, the Kore Employee app and Kore Portal may process:

  • employee name, contact and account information;
  • staff profile photograph;
  • employee, workplace and assigned-site information;
  • clock-in and clock-out information and attendance records;
  • working times and related employment records;
  • assigned tasks, completion information and operational records;
  • location information when the employee actively uses Vicinity Check;
  • a temporary verification image where image verification is used;
  • device, login, diagnostic and technical information; and
  • information submitted through Kore when reporting an issue or using other work-related functions.

Kore accounts are created and administered by Skweeky Kleen management. Employees do not create their own Kore accounts.

4. Staff Profile Photographs

A staff profile photograph may be stored within Kore and displayed in the Kore Portal to authorised management users. The profile photograph is used to help identify the employee, administer the employee's Kore account, and support attendance and workforce management.

Access to staff photographs and other employee information in the Kore Portal is restricted to authorised users who require access for legitimate work-related purposes.

5. Vicinity Check and Location Information

The Kore Employee app accesses a user's device location only when the user actively presses the Vicinity Check function. Location is used to determine whether the user is within the permitted vicinity of the workplace or assigned site.

The Vicinity Check supports attendance verification and the accuracy and integrity of work records. Kore does not continuously track an employee's location and does not use Vicinity Check for general background location tracking.

6. Temporary Image Verification

Where image verification is used, Kore may capture an image for the purpose of performing the verification check. The verification image is used for the check and is then discarded. The verification image is not retained or stored in Kore.

This temporary verification image is separate from a staff profile photograph that may be stored and displayed in the Kore Portal.

7. Device and Technical Information

When Kore is used, we may process technical information necessary to operate, secure and maintain the service. This may include device type, operating system, app version, login information, IP address, diagnostic information, error or crash information, and security-related information.

This information is used to operate Kore, investigate technical issues, improve performance and maintain the security and integrity of the service.

8. How We Use Kore Information

Personal information processed through Kore may be used to:

  • provide and administer access to Kore;
  • authenticate authorised users;
  • manage employee attendance and working-time records;
  • provide and manage work assignments and tasks;
  • confirm vicinity to an authorised workplace when Vicinity Check is actively used;
  • support workforce, site and operational management;
  • maintain accurate employment and operational records;
  • support employees and authorised managers;
  • investigate technical, security or misuse issues;
  • prevent inaccurate or fraudulent attendance activity; and
  • comply with applicable employment, legal, regulatory and contractual obligations.

9. Legal Bases for Processing

Depending on the information and circumstances, we process personal data where it is necessary for the performance of an employment or other contract, to comply with a legal obligation, for our legitimate interests where those interests are not overridden by an individual's rights, where valid consent has been obtained when appropriate, or under another lawful basis permitted by data protection law.

Where special category personal data is processed, we will ensure that an appropriate additional condition under applicable data protection law is met.

10. Storage, Security and Access

Kore data is stored on Skweeky Kleen's own server. We take appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure, loss or misuse.

Our security practices include secure encrypted web traffic, access controls, regular data backups, appropriate restrictions on access to information, and staff training on data handling and privacy.

Personal information is accessible only to authorised personnel where access is required for legitimate work-related purposes.

11. Sharing Personal Information

We do not sell personal information. Personal data may be shared internally with authorised Skweeky Kleen personnel where necessary for their duties.

We may use service providers where necessary to support our website, app, IT, communications or other business systems. Where a third party processes personal information on our behalf, we take appropriate steps to protect that information and require suitable data-protection and security arrangements.

We may also disclose information where required by law, regulation, court order or a competent authority.

12. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet applicable legal, contractual, employment, accounting, health and safety and regulatory requirements. Different categories of information may have different retention periods.

When personal information is no longer required, it will be securely deleted, anonymised or otherwise disposed of in accordance with our procedures. Temporary verification images used by Kore are discarded after the verification check and are not retained.

Under the UK GDPR, depending on the circumstances, you may have the right to:

  • access the personal data we hold about you;
  • request correction of inaccurate or incomplete data;
  • request deletion of your data where applicable;
  • object to or restrict how we process your data;
  • withdraw consent where processing is based on consent; and
  • raise a concern or complaint about how your personal data is handled.
